1. Who we are
Heidi Rocks Property Ltd (company number 17437072, registered office 2 Stanley Gardens, Herne Bay, Kent CT6 5SG) is responsible for your personal information. We are registered with the Information Commissioner's Office (registration number ZC098497). Contact us at heidi@heidirocksproperty.co.uk or on 07985 682658.
2. What we collect
We collect information you give us when you enquire, book a viewing or valuation, make an offer or instruct us. This may include your name, contact details, property address, identity documents, proof of funds or mortgage agreement in principle, and details of your property needs.
We may also receive information about you from property portals, your solicitor or mortgage adviser, identity verification services, and our website through cookies (see our Cookie Policy).
3. How we use it and why
We use your information to:
provide our estate agency services, including valuations, marketing, viewings, offers and progressing sales (to perform our contract with you, or take steps at your request before one)
carry out identity and anti-money laundering checks, keep records and deal with complaints (to meet our legal obligations)
check buyers' finances, keep in touch about suitable properties and run our business (our legitimate interests, which we balance against your rights)
send you marketing or use optional cookies (only with your consent, which you can withdraw at any time)
If you do not give us information we need for legal checks, we may not be able to act for you. We do not make decisions about you by automated means.
4. Who we share it with
We only share your information where needed. This may include the other party in your transaction and their solicitor, solicitors and mortgage advisers you choose to use, property portals, photographers, identity verification providers, our IT and software suppliers, The Property Ombudsman, and HMRC or other authorities where the law requires it. We never sell your information.
Some of our suppliers may store data outside the UK. Where they do, we make sure appropriate safeguards are in place.
5. How long we keep it
We keep your information only as long as we need it. Records relating to a sale, including identity checks, are kept for at least five years after the transaction ends, as anti-money laundering law requires. General enquiries are deleted after [two years] if you have not used our services.
6. Your rights
You have the right to ask for a copy of your information, have it corrected or deleted, restrict or object to how we use it, have it transferred to another organisation, and withdraw consent at any time. Some rights depend on the circumstances, for example we must keep certain records by law. To make a request, contact us using the details above. We will respond within one month.
7. Complaints
If you are unhappy with how we handle your information, please contact us first. You can also complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.
We may update this policy from time to time. Last updated: 16 October 2026.
